Our approach to privacy
At Next Option Research, we understand that the people who contact us may be sharing information during deeply personal and difficult circumstances. For that reason, we aim to handle privacy with care, restraint, and respect.
Our approach is simple: we try to collect only the minimum information needed to understand whether our research service may be helpful and to communicate with clients clearly.
What information we may collect
Depending on how someone contacts us, we may collect information such as:
- name
- email address
- country or general location
- broad diagnosis or case summary
- information voluntarily shared in an enquiry
- communication history relating to our service
We ask clients not to send full medical records, highly sensitive documents, or unnecessary personal information in an initial enquiry unless specifically requested as part of a defined review process.
Why we collect information
We collect limited information in order to:
- respond to enquiries
- understand whether a case is suitable for our research process
- communicate with clients about our services
- conduct agreed research work
- prepare and deliver findings
- where appropriate, help initiate contact with relevant providers, institutions, or opportunities
We do not collect information for unnecessary or unrelated purposes.
How we use information
Information shared with us may be used to:
- assess the scope of a case
- carry out research into trials, studies, and treatment-access pathways
- organize findings into a structured brief
- communicate with the client about the progress and outcome of our work
- help facilitate introductions or email contact where appropriate
We do not use personal information to provide medical advice, make medical decisions, or replace the role of licensed healthcare professionals.
Data minimization
We believe in collecting as little information as possible.
Where possible, we work from limited summaries and only request further information if it is genuinely needed to carry out our research. We encourage clients to avoid sharing more than is necessary in the early stages of contact.
AI-assisted research
We use advanced AI-assisted tools to support the speed and organization of our research process. These tools help us review and structure information more efficiently, but all outputs are reviewed by humans before anything is shared with clients.
We do not rely on AI alone to make judgments about relevance or presentation.
Sharing information
We do not sell personal information.
We only share information where it is necessary for the service being provided, where a client has asked us to help initiate contact, or where disclosure is otherwise required by law.
Where appropriate and agreed, this may include sharing limited relevant information with:
- medical providers
- institutions
- treatment centers
- trial contacts
- other relevant organizations connected to a possible next option
Once we help initiate a connection, the client then communicates directly with those parties.
Where our role ends
Where appropriate, we may help begin introductions by email to relevant contacts at home or abroad. Once those connections are made, our role ends.
From that point onward, clients communicate directly with the relevant doctors, institutions, or medical professionals involved. We do not remain involved in treatment communication, clinical decisions, or ongoing care management.
Data security
We aim to take reasonable steps to protect the information shared with us and to limit unnecessary access to it.
However, no online system or method of communication can be guaranteed to be completely secure. Clients should avoid sending unnecessary sensitive information through general contact forms or unsecured channels.
Data retention
We aim not to keep personal information for longer than necessary.
Information may be retained for a limited period where needed to:
- respond to enquiries
- deliver agreed services
- maintain a record of communications
- meet legal, accounting, or operational requirements
When information is no longer needed, we aim to delete or remove it in a reasonable timeframe.
Client responsibility
Clients are responsible for deciding what information they choose to share with us. We ask that they only provide information that is necessary for us to understand the enquiry and carry out the agreed work.
Please do not send highly sensitive records, identity documents, financial information, or extensive medical files unless we specifically request them for a defined purpose.
Children and vulnerable individuals
Our service is intended for adults or for adult family members, carers, or representatives making enquiries on behalf of someone else. If information is shared on behalf of another person, the person contacting us should ensure they have the appropriate authority or consent to do so.
Updates to this page
We may update this Privacy page from time to time to reflect changes in our service, process, or legal obligations. The latest version will always be published on this website.
